    Efficiency of Microsoft Project 2010 with files from previous versions.

    I work as a project manager and I use Microsoft Project 2010. The organization for which I work has not completely upgraded to Microsoft Project 2010. Some of my colleagues and co-workers from other department still use older versions of Microsoft Project. So if I create some work file in Project 2010 and send it over to them, will they be able to access the files. Or in other case, will I be able to open files sent by them? Thanks

    Microsoft Project 2010 has a good cross over compatibility function. This means you can view files created in older version of MS project without any trouble. Similarly, people using older version of MS project will be able to operate files created on newer version without much issue. The only problem that might occur is that of new functions available in MS Project 2010. As they won’t be available in older versions, data created using them might not be seen.

    If you open .mpp file from older version in MS project 2010, then first thing you will notice is that it will operate with low functionality. In the Title bar of the file, compatibility mode will be mentioned. If you are working on a file in an old format than you can open, edit or save the data in old format only. You can’t use the new functions available in MS project 2010.

    As mentioned in above reply, low functionality means that you won’t be able to set tasks as inactive. The function of setting task to inactive is new in MS project 2010. Manual task Scheduling is also a new function. So, while working on old format, only automatic scheduling can be used. As manual scheduling is not available in old formats, blank dates can’t be used in scheduling.

    File saved in MS project 2007 will operate with full functionality in MS project 2010. It won’t even run in compatibility mode. But still, you might notice some change in behavior. All the existing tasks will be set to automatic scheduling. New tasks will be set to automatic scheduling by default; they can be manually scheduled once they are created. The task mode column which shows whether the task is set to automatic scheduling or manual scheduling will not be available. Master projects will be seen as they are seen in MS project 2007, but Project 2010 does not have sub-projects. So the sub-projects will be expanded.

    You will not be able to expand the cross project links that are directed to files created in older versions. The cross project links have to be created with compatibility to MS Project 2010 to be expanded. Resource pool files that are created in older versions of MS Project won’t be accessible in MS Project 2010. One needs to convert them in version compatible in MS Project 2010.

    If you have used any formulas to create fields or columns in MS Project 2007, then they will convert themselves in MS Project 2010 equivalent when file is transferred to Project 2010.
    • The Start field will be denoted as scheduled start.
    • The Duration field will be denoted as Scheduled Duration
    • The Finish field will be denoted as Scheduled Finish.
    • The Baseline Start field will be denoted as Baseline Estimated Start.
    • The Baseline Duration field will be denoted as Baseline Estimated Duration.
    • The Baseline Finish field will be denoted as Baseline Estimated Finish.

    If you save MS project 2010 file in format for previous versions then some task settings will be altered. If you save a file in Project 2010 in format compatible with Project 2007 then manually scheduled tasks will be converted to automatically schedule. Inactive tasks will be deleted. Strikethrough font will be deleted but not the task. The colors used for underlines, fonts & markings in Project 2010 are 32-bit. They will be converted to 16-bit. Summary tasks will be converted to milestone tasks.

    Incase you are saving a file in Project 2010 in format compatible with Project older than 2007 then information from budget field will be lost. Information in cost resources field will change. It won’t be lost but will be changed to material resources. Sheet cells will lose their background formatting. Information in Assignment owner column might be lost. Information from custom created fields will be lost.
