    Troubleshooting error messages that receive while trying to send and receive mail in Outlook

    Hi friends,
    I have observed that me and many of my friends get an error while sending or receiving mail in an Outlook or in an Outlook Express. Many times the situation is like we can't do anything, so we have to reinstall the whole application. But every time it is not possible to do it. So thought that it would be grateful if you provide some troubleshooting notes for an error messages that receive while trying to send and receive mail in Outlook. Thanks for sparing your precious time.!!

    These error messages may occur if Microsoft Outlook or Microsoft Outlook Express can connect to your mail server. These error messages are frequently caused by one of the following :
    1. There are chances of generating this error when you are not connected to the Internet or a network or your mail server is temporarily unavailable.
    2. If your account settings are incorrect then also errors pops up.
    3. Your Outlook user profile is damaged.
    4. A mail item on your POP3 server is damaged.

    The most common causes of these error messages are problems with Internet connectivity and incorrectly configured account settings in Outlook and Outlook Express. First check that you are connected to the Internet. To verify that you are connected to the Internet and your mail server was not temporarily unavailable, follow these steps :
    1. Start a web browser like Internet Explorer.
    2. Type one of the following addresses in the address bar :
      • http://www.microsoft.com
      • http://www.msn.com
    3. Then you can send yourself a test email to verify that you can send and receive electronic messages without receiving an error message.
    4. If your test is successful, you're done. If you still receive an error message, that means you will have to set an account properly.

    To create a mail profile in Outlook 2007 and Outlook 2003, follow these steps :
    1. Click Start, then Run.
    2. Copy and paste (or enter) the following command in the Open box, then press Enter: control panel
    3. If you are using Classic View, double-click Mail. The Configuration dialog box opens the mail.
    4. If you're in Category View under Control Panel, click Switch to Classic View, then double-click Mail. The Configuration dialog box opens the mail.
    5. In the dialog Mail Setup, click Show Profiles.
    6. On the General tab, click Prompt for a profile to be used under When starting Microsoft Office Outlook, use this profile, then click Add.
    7. In the Profile Name box, type a descriptive name for the new mail profile, then click OK.
    8. In the dialog-mail Accounts, click Add another mail account, then click Next.
    9. Click the appropriate server type for your new email account, then click Next.
    10. Enter information about your account in the boxes, then click Next.
    11. Click Finish, then click OK.

    If you continue to experience problems sending and receiving emails after checking the settings of your mail server from your service provider messaging, see the troubleshooting steps forward described below. If you are not comfortable with advanced troubleshooting, you can ask a more experienced user to help you or you can contact technical support. Also try to start Outlook in Safe Mode, by following the steps :
    WINDOWS VISTA :
    1. Click Start.
    2. Type outlook.exe / safe in the Search box.
    3. Press Enter.

    WINDOWS XP :
    1. Click Start.
    2. Click Run.
    3. Enter outlook.exe / safe
    4. Click OK.
    Outlook starts in Safe Mode starts Outlook without displaying extensions, preview pane or customizations of the toolbar, and may indicate a damaged profile, or an application or a third-party add-confrontational.

Do not download or open files from sources that you do not trust, do not visit Web sites that you do not trust or do not open attachments to e-mail while Your antivirus program is disabled. If Outlook Express has been removed from your computer or the installation of Outlook Express is corrupted, Outlook does not work correctly and may generate error messages. If an SMTP address of a distribution list is damaged or malformed error 0x8004210b can occur. Examine all addresses on the mailing list to verify they are correct. You can also send test messages to each individual member of the mailing list to determine if an address is incorrect.
